Answer calls after hours

AI-generated voice.

Who picks up after the shop closes?

The phone still rings after the office goes dark. Somebody has to pick up, get the address, sort a real emergency from a price shopper, and either put the job on the board or wake up the on-call tech. If nobody does, the customer calls the next shop.

An AI receptionist answers your line (usually through call forwarding), follows the rules you give it, and sends you a summary. A live answering service does the same job with people. This page covers both, so you can compare them.

Prices in the list are copied from vendor pages, with the date we read them.

When AI helps

  • Nights, weekends and overflow. When the techs are on calls and the office is closed, it catches the calls that would otherwise go to voicemail.
  • Sorting the calls. A good setup knows that a burst pipe goes to on-call right away, while a dripping faucet gets booked for the morning.
  • Taking the details down. It gets the name, address, callback number and problem on every call, and has them waiting for you as text instead of a voicemail you have to call back.
  • Screening junk. Robocalls and wrong numbers get ended without waking anyone up.

It helps less when every call needs a judgment call only you can make, or when you get so few calls that forwarding to your own cell is fine.

What to look for

Items marked must-have are the ones that decide whether a tool fits this job.

  • Answers fast, every time (must-have). It picks up within a couple of rings and doesn’t drop calls when two come in at once.
  • Recognizes emergencies and escalates (must-have). It catches a burst pipe, no heat in freezing weather, or a gas smell, tells a gas caller to get out and call the utility or 911, and reaches your on-call person by warm transfer or text.
  • Captures the basics (must-have). Name, service address, callback number and the problem, read back to the caller.
  • Doesn’t make up prices (must-have). It quotes only the diagnostic or trip fee you allow, mentions the after-hours fee, and never guesses a repair price.
  • Clear next step. The caller hangs up knowing what happens next, booked or confirmed if it connects to your calendar or field service software.
  • Handles existing customers. It can take a reschedule for someone already on the board without creating a duplicate job.
  • Filters spam and wrong numbers without sending you alerts.
  • Sends an accurate summary within minutes, with emergencies flagged at the top.
  • Sounds like a calm dispatcher. No robotic loops, and it handles a caller who talks over it.
  • Pricing you can predict. Check what counts as a unit (minutes, calls, or unique callers), what overage costs, and whether a free trial turns into a paid plan on its own.

Common pitfalls

  • Buying the cheapest tier and finding out transfers aren’t included. On several tools, live transfer and calendar booking start on a higher plan. Check the tier, not just the brand.
  • Forwarding that silently fails. Conditional forwarding on a cell phone can lose to the phone’s own voicemail features. Call your own number from another phone after you set it up.
  • No emergency rules written down. The tool can only follow rules you give it. Write them down before setup: what counts as an emergency, who is on call, and what fee it can quote.
  • Letting it quote repairs. One made-up price on a recorded line costs more than the tool does.
  • Trials that bill on day eight. Some trials need a card and convert automatically. Put the cancel date on your calendar.
  • Never reading the transcripts. Spot-check a few calls every week, especially the first month.

FAQ

Do I have to change my business number?

Usually not. Most of these tools give you a number to forward your existing line to. Some also let you use their number as your main line. Check whether the tool supports porting if you ever want to move the number itself.

Can it send the job straight to my dispatch board?

Some connect directly to field service software, and others only reach it through Zapier or a calendar. Ask the vendor which system it books into, and whether it books a real job or only sends you a message.

Is AI better than a live answering service?

Not automatically. People handle odd calls better. AI is usually cheaper per call and never puts callers on hold. We list one live answering service as a benchmark next to the software.

What does “unique customer,” “minute,” or “call” pricing mean for me?

It’s what the vendor counts toward your plan. A long emergency call costs more under minute pricing and the same under per-call or per-customer pricing. Look at a normal month of your calls, and a bad storm week, before you pick a plan.

Will it handle Spanish-speaking callers?

Many tools say they handle more than one language, and some list Spanish on every plan. Read the vendor page for the plan you’d actually buy, then place a real call before you rely on it.

Tools for this job

Ranked by the average star rating across public review sites (G2, Capterra, Trustpilot, App Store, Google Play), counting sites with at least 5 reviews so no single site dominates. Tools with fewer than 10 such reviews are listed after, alphabetically. No tool can pay for a higher rank.
