Write the words

Who drafts the estimate text and the SOPs?

Not every job needs a specialist app. A general AI assistant can draft a cancellation policy, translate a message into Spanish, turn a rambling voicemail into a work order, calm down an angry-customer reply, or build a checklist, all from a chat box. The catch is that it will sometimes answer with confidence when it’s wrong.

When AI helps

  • Writing and rewriting. Policies, emails, texts, job descriptions and website copy.
  • Translating customer messages.
  • Summarizing long emails, voicemails and documents.
  • Thinking out loud about pricing, staffing or a tricky customer.

What to look for

Items marked must-have are the ones that decide whether a tool fits this job.

  • Accurate (must-have). It answers a handful of your real shop prompts without factual errors.
  • Admits when it doesn’t know (must-have), for example on a code or regulation question, instead of inventing an answer.
  • Useful, ready-to-use output, so you edit lightly instead of rewriting.
  • The right tone for trade customers. Plain, polite and not salesy.
  • Speed and price. What the free plan covers versus the paid plan.

Common pitfalls

  • Trusting code or safety answers. Always check codes, permits and safety steps with the official source or your inspector.
  • Pasting in customer private data. Check the privacy and training settings before you share names, addresses or payment details.
  • Usage limits. Paid plans still have caps that can change.

FAQ

Which one should I use?

They’re close for everyday writing. Pick by price, privacy settings, and which one handles your own shop prompts best.

Is the free plan enough?

For occasional drafting, often yes. Heavy daily use or file uploads push most people to a paid plan.

Can it replace my office manager?

No. It’s a fast first-draft writer. Someone still has to check the work and make the calls.

Tools for this job

Ranked by the average star rating across public review sites (G2, Capterra, Trustpilot, App Store, Google Play), counting sites with at least 5 reviews so no single site dominates. Tools with fewer than 10 such reviews are listed after, alphabetically. No tool can pay for a higher rank.
