Schedule and dispatch

AI-generated voice.

What runs the board?

This is the board: who is on which call, what’s still unassigned, and whether the tech can see the job before they roll. Field service management (FSM) software also quotes, invoices and takes payment, because that’s how it’s sold. The AI features are newer. Look for help with scheduling, call booking, job notes and follow-up.

Prices in the list are copied from vendor pages, with the date we read them.

When AI helps

  • Building and reshuffling the day. Suggestions for who should take a job based on location, skills and openings, plus a fast way to drop an emergency into a full board.
  • Paperwork. Drafting job notes, summaries and follow-up messages from what the tech recorded.
  • After-hours intake. Some FSM tools now sell their own AI answering that books straight onto the board.
  • Reports. Plain-language answers to “what did we bill this week?” without digging through menus.

AI won’t fix a board that nobody keeps up to date. The basics (fast dispatch, a reliable mobile app, and clean invoicing) still matter most.

What to look for

Items marked must-have are the ones that decide whether a tool fits this job.

  • Fast emergency insert (must-have). How long it takes to drop a no-heat call into a full day and reassign the job it bumps.
  • A tech app that works offline (must-have). Techs can see the job, add photos and notes, and close it out in a basement with no signal, and it syncs later.
  • Quick setup. How long it takes to get from signup to your first scheduled job.
  • Customer notifications. “On my way” and running-late texts that go out without the tech typing them.
  • Job to invoice to payment in one flow, collected on site.
  • Reports a small owner will actually read.
  • Price transparency and contract terms. A published price or a straight quote, the per-user or per-tech rules, and whether you’re locked into an annual contract.

Common pitfalls

  • Paying for seats you don’t use. Most of these price by user, tech or job volume. Count office staff and techs separately, and check what extra users cost.
  • Annual contracts before you have used the tool on your own jobs. Run a trial or a demo with your real job types first.
  • Assuming the AI receptionist add-on is included. It’s often sold separately.
  • Migrating customer history late. Ask how customer, equipment and agreement records get imported before you sign.
  • Skipping a check without a signal. Open the mobile app in airplane mode before you commit.

FAQ

Do I need an FSM if I’m a one-truck shop?

Not always. A calendar and an invoicing app can carry a solo operator. FSM pays off once more than one person touches the schedule, or when you’re losing track of quotes and follow-ups.

Why won’t some vendors show a price?

Several bigger platforms quote by technician count and modules after a demo. We list them as “Pricing not public” rather than guess.

Can I switch later?

Yes, but moving customer and equipment history is the hard part. Ask about export formats before you buy.

Will it work with QuickBooks?

Most list a QuickBooks Online integration, and some also support Desktop. Check whether it’s included on the plan you’d buy.

Tools for this job

Ranked by the average star rating across public review sites (G2, Capterra, Trustpilot, App Store, Google Play), counting sites with at least 5 reviews so no single site dominates. Tools with fewer than 10 such reviews are listed after, alphabetically. No tool can pay for a higher rank.

Tools for Schedule and dispatch. Higher public review ratings come first. A paid placement is labeled and does not move a tool.
