Job 04
Quotes and estimates
Can you price the job on site?
A quote that shows up the same day, looks professional and can be signed on a phone wins more work than a number scribbled on a business card. Quoting tools build estimates from your price list, offer good/better/best options, and turn an approved quote into an invoice.
Prices in the list are copied from vendor pages, with the date we read them.
When AI helps
- Drafting line items from a description or the tech’s notes, so the quote starts from something instead of a blank page.
- Measurements. Some trade-specific tools build roof or exterior measurements from photos or aerial images.
- Follow-up. Automatic reminders when a quote has been opened but not approved.
- Clear wording. Turning shorthand into plain language a homeowner understands.
Check every number AI puts on a quote. You’re the one who has to honor the price.
What to look for
Items marked must-have are the ones that decide whether a tool fits this job.
- Fast to build on a phone (must-have). A tech can put together a real quote in the driveway.
- A good customer experience (must-have). The customer can view, approve or sign, and pay a deposit from a text or email link without making an account.
- Options and packages. Good/better/best on one quote.
- Deposits and payments collected when the customer approves.
- Follow-up automation on quotes that haven’t been approved.
- AI accuracy if the tool offers AI. It shouldn’t invent parts, quantities or prices.
Common pitfalls
- Document caps on cheap plans. Some entry plans limit how many quotes or invoices you can send each month.
- A price book that’s out of date. Fast quotes with old prices lose money faster.
- AI line items nobody checks. Treat AI as a first draft.
- Paying per measurement report without counting. Pay-per-report tools add up in busy months.
FAQ
Do I need a separate quoting tool if I have FSM software?
Often not. Most FSM platforms include quoting. Standalone tools make sense for solo contractors or trades with special needs, like roof measurement.
Can customers sign on their phone?
Most tools support e-signature or approval by link. Try it on your own phone before you send one to a customer.
Should I show good/better/best?
Many contractors find it helps customers decide. The tool just needs to make it easy, which is what we score.
