Inspections and checklists

How do you prove the inspection happened?

Maintenance visits, safety checks, move-out inspections and commercial site walks all follow a checklist. Inspection apps replace paper forms with mobile checklists that capture photos, flag failed items, assign follow-up and produce a report.

When AI helps

  • Building checklists from an existing paper form or a plain description.
  • Writing up findings from photos and notes.
  • Spotting trends, like the same item failing across sites.

What to look for

Items marked must-have are the ones that decide whether a tool fits this job.

  • Completes in the field, including offline (must-have).
  • Failed-item follow-up. A failed item creates a task with an owner and a due date.
  • Fast to build a checklist.
  • Report quality you’d hand to a customer or property manager.
  • Price per user for a five-tech shop, including any minimum number of users.

Common pitfalls

  • Free plans with template limits. These are fine while you try a template, and tight once you standardize.
  • User minimums. Some plans require several paid users even if only one person inspects.
  • Checklists that are too long. Techs skip them. Start with the items that matter.

FAQ

Can I use my existing paper form?

Most tools let you rebuild it, and some can convert it with AI. Check the result line by line.

Do I need this if my FSM has forms?

Maybe not. Many FSM tools include custom forms. Standalone inspection apps add stronger templates, follow-up tracking and reporting.

Tools for this job

Ranked by the average star rating across public review sites (G2, Capterra, Trustpilot, App Store, Google Play), counting sites with at least 5 reviews so no single site dominates. Tools with fewer than 10 such reviews are listed after, alphabetically. No tool can pay for a higher rank.
