Job 02
Follow up with leads
Who texts the lead that went quiet?
A web form comes in at 9:47 PM. A call goes to voicemail while the owner is under a house. Whoever answers first usually gets the job. Texting and lead follow-up tools reply to new leads fast, text back missed calls, and keep nudging people who went quiet, without anyone at the desk.

When AI helps
- The first reply. AI can answer a web lead or a missed call within a minute, any hour, and ask the questions your office would ask.
- Follow-up nobody remembers to do. It can send polite nudges on a schedule until the lead books or says stop.
- Leads in other languages. Some tools can reply in the customer’s language and translate the thread for your office.
- Handing off. It routes the conversation to the right person with the details filled in.
It helps less if most of your work comes from repeat customers who call your cell directly.
What to look for
Items marked must-have are the ones that decide whether a tool fits this job.
- Fast first reply (must-have) to a web lead and to a missed call, including after hours.
- Honors opt-outs immediately (must-have). STOP means stop, with no more automated texts.
- Accurate messages. It stays on-brand and doesn’t promise a time, price or discount you didn’t approve.
- Sensible follow-up. A few spaced nudges, not a flood, and it stops when the lead books.
- Clean handoff to the office. A shared inbox, who it’s assigned to, and an alert when a human needs to step in.
- Connects to your field service software or CRM, so a booked lead becomes a job without retyping.
- Handles a Spanish-speaking lead if your area needs it.
Common pitfalls
- Texting without consent rules in place. Business texting in the US runs through carrier registration (10DLC), and opt-out handling matters. Ask the vendor how they handle both.
- AI that over-promises. A chatbot that says “we can be there in an hour” creates a problem for dispatch. Lock down what it may say.
- Leads living in two places. If the texting tool doesn’t sync with your board, someone ends up copying data by hand.
- Paying for a bundle you don’t need. Some texting tools come only as part of a larger package. Price the piece you’ll actually use.
FAQ
Is a missed-call text-back worth it on its own?
It’s often the cheapest win. It turns a voicemail into a text conversation the caller can answer later. Make sure the text says who you are and how to reach a person.
Do these tools work with my existing number?
Many can text from your business number once it’s registered for texting. Others give you a new number. Ask before you sign up.
Can it book the job for me?
Some can book into a calendar or field service tool. Others only collect details and hand off. Check the vendor’s integration list for your software.
What about opt-out and texting rules?
Ask how the tool handles STOP, quiet hours and carrier registration. Treat this as a must-have, not an extra.
