Property maintenance

How do maintenance requests get handled?

An 11 PM text from a tenant about water under the sink sets off a chain of work: triage it, pick a vendor, get owner approval if needed, keep the tenant updated, close it out and bill it. Property management platforms and maintenance-coordination tools handle that chain, and AI is starting to handle the first steps.

Prices in the list are copied from vendor pages, with the date we read them.

When AI helps

  • Triage. It asks the tenant the right questions and separates a true emergency from a morning job.
  • Dispatch. It picks the right vendor and schedules them.
  • Updates. It keeps tenants and owners informed without the manager typing every message.
  • Close-out. It ties the work order to the bill.

What to look for

Items marked must-have are the ones that decide whether a tool fits this job.

  • Accurate emergency triage (must-have). Active water, no heat, gas smell and sewage get escalated right away. A gas smell gets “leave and call the utility or 911.”
  • Vendor dispatch and coordination.
  • Owner approval workflow for jobs over a set amount.
  • Tenant communication from request to close-out.
  • Ties into accounting, so work orders flow to billing.

Common pitfalls

  • Unit minimums. Some platforms require a minimum number of units or a minimum spend.
  • AI triage without your rules. Write your emergency definitions and approval limits down first.
  • Vendors who aren’t set up. Dispatch only works if your vendor list, trades and after-hours contacts are current.

FAQ

Do I need a full property management platform?

If you manage leases, rent and owner statements, yes. If you only coordinate maintenance, a maintenance-focused tool may be enough.

Can AI handle after-hours tenant calls?

Some tools offer AI receptionists or after-hours human support for tenants. Place the emergency calls yourself before relying on it.
